Business process enablement - streamline department processes and workflows Work with project managerment team to ensure projects are flowing through the project funnel from queue to backlog to staffed with proper documentation Drive and manage demand vs. capacity using project management tools Work with the communications team to ensure we are receiving quality information and documentation – briefs, project scope, costs and approvals Drive scope and cost management approvals with department leaders Through daily use of project management software - maintain project timelines, forecast future work, and manage demand vs. capacity plan for department Drive information gathering and project documentation with rigor Improve efficiency of project process and information gathering Troubleshoot problems and issues that may arise within the team. Foster cross-functional teamwork and build trust with colleagues, while communicating with impact. Support the Communications Director in strategic efforts to improve utilization and capacity of the Lutron in-house design group. Support the Communications Director to establish and maintain workflow processes with the Project Management and Creative teams . Enhance and maintain the processes for the design and production of marketing materials across a broad spectrum of media (digital, web, displays, print, packaging, tradeshows, advertising, etc.) Collaborate with the IT department for all technical details and ensure that the studio is equipped with necessary hardware and software to facilitate workflow. Fine attention to detail Effective skills in communicating with creative and project management teams. Written and verbal communication skills should both be above average. Posses ability to work well in an environment requiring multi-tasking and stringent deadlines. Interpersonal skills and collaboration skills are essential. The key interpersonal skills for this position include active listening and social perceptiveness.
Minimum 3-5 years of experience as a project coordinator /project driver in an agency, building products manufacturer or reseller of building products. Supervisory experience beneficial but not required. Outstanding project management skills Highly organized; must be detail-oriented with strong problem-solving skills and ability to multi-task effectively. Strong project management skills and experience meeting aggressive timeline and managing budgets. Experience in multiple aspects of marketing programs a plus – brochures, trade shows, training and sales programs, advertising, web and digital. Excellent interpersonal communications skills. Must be able to communicate ideas to all levels of management. Solid understanding of design and production processes Experience with agency or vendor management a plus Willingness to travel 10% of the time, sometimes with little or no notice.
