Responsibilities:

The administrative assistant provides administrative support for the departments of Facilities, HSE and Information Technology. Responsibilities include but are not limited to:

  • Administer Director Outlook calendars

  • Lease and lease renewal tracking and administration

  • Meeting scheduling and coordination

  • PowerPoint presentation creation

  • Typing correspondence

  • Travel booking and coordination

  • Complete and reconcile expense reports

  • Deadline management

  • Obtaining quotes

  • Applies for licenses

  • Data analysis, and preparing and processing reports

  • Supplier setup and process invoices in E1

  • Compiles and disseminates information as appropriate.

 Requirements:

  • Bachelors degree required
  • Four (4) years or more of progressive office experience as an administrative assistant required
  • Minimum 2 years in commercial real estate preferred

  • Information technology background preferred

  • Proficiently utilize MS Word, Excel, PowerPoint and Outlook and use of the Internet.

  • Ability to handle a large variety of details and to work with all levels of organization.

  • Ability to handle sensitive and confidential data

  • Excellent customer service skills and interpersonal skills.

  • Excellent oral and written communication skills.
